K Street Association Season: Timing Your Member Renewal Video

IMG_9684

K Street is shorthand for DC’s association and lobbying corridor, and a huge share of the organizations headquartered there run on the same basic clock, member renewal season. That clock should be driving a lot more video planning than it usually does.

Renewal season is a real deadline, not a soft one

Most trade associations run membership renewals on an annual cycle, often tied to a calendar or fiscal year. Unlike a lot of marketing deadlines, this one is genuinely fixed, a member either renews by the date or the association loses that dues revenue, which makes the run-up to renewal season one of the highest-stakes windows in an association’s whole year.

Video works differently here than a typical marketing campaign

A renewal-season video isn’t trying to win a new customer, it’s reminding an existing member why the dues are worth paying again. That calls for a different kind of proof, real value delivered over the past year, actual member stories, concrete wins the association can point to, rather than a general brand pitch.

Why waiting until renewal notices go out is too late

If the plan is to have a video ready alongside renewal notices, production needs to start well before that mailing date, not the same week. Interviews with members willing to talk about real value need scheduling time, and editing needs real turnaround, not a rush to hit a date that was already fixed months in advance.

What we’d tell any K Street association to plan around

Work backward from your actual renewal date, budget real time for member interviews, and treat this video with the same seriousness as the renewal notice itself, since it’s arguably doing more of the actual persuading. ASAE, the association industry’s own trade group, is a useful resource for renewal strategy more broadly.
